9/27/16 - Courses Hidden

7:28 am a data feed error to PolyLearn caused all courses to divert back to their "Default" settings. This includes:

  1. Visibility = Hidden
  2. Section Display = Topics
  3. Number of Sections = 10

Students would not be able to see the PolyLearn link in their Portal's My Classes channel. Faculty may have "orphaned" sections or their "weeks" change to topics.

First PolyLearn Support email came in at 11:04 am. In individual emails, faculty were asked to manually change their courses visibility back to "Show", but with the Portal's 4 hour cache, students may not see the PolyLearn link for 4 hours. Instructions for instant access were provided about accessing PolyLearn via the PolyLearn Home link.

1:20pm, ITS determined cause of error. A mass email message was sent to all PolyLearn faculty.

9/28: 10:10am, ITS created a way to change all courses back to their "Show" and pushed to all remaining courses. A email was sent to those faculty by PolyLearn Support.

5:10 pm, ITS created a way to change all sections back to "weeks" and an email was sent to those faculty.

During that 24 hour period, PolyLearn Support Team (1 staff / 1 student) answered 288 emails.

At 9:54 am an email was sent to all PolyLearn faculty asking them manually change their courses visibility back to "Show", but with the Portal's 4 hour cache, students may not see the PolyLearn link for 4 hours. Instructions for instant access were provided about accessing PolyLearn via the PolyLearn Home link.

10:20 am, ITS change all remaining courses back to their "Show", "weeks", and number of section for all remaining courses. A email was sent to those faculty by PolyLearn Support.

12:20 pm, the ITS Portal teamcreated a method to clear all Portal cache so students would see their PolyLearn links.

10/12/16 - Slow Performance

12:30 pm performance data starts to show. 2:15 pm the first email to PolyLearn support about emails not working.

4:30 pm ITS informed PolyLearn Support that the systems will be rebooted due to major performance issues. For a short time during reboot, students wouldn't see their PolyLearn course links in the Portal.

8:00 pm, ITS determined that a single student assignment file created an error in the annotation tool, which erred many other PolyLearn process. ITS removed the bad file and all waiting processes resumed. All emails where sent after.
